How do I use Personal Folders?
Personal Folders are folders that you use in Outlook to save important e-mail files.  In order to better manage your e-mail, you can create sub-folders within your Personal Folders file.  (As many as you want.)

Your Personal Folders actually reside on your M drive in a file named username.pst.  This file is automatically loaded into Outlook each time you log onto a computer that is attached to our network (or via off-campus Citrix access).  By keeping important e-mails in your Personal Folders, you remove them from the actual mail server where you are allotted 30MB of space.  This is important because your mailbox can easily become filled with pictures and other attachments that people send you.  For this reason it is imperative that you do not create folders under your “Inbox” but instead create Personal Folders.  When you open Outlook, you will see your Personal Folders load on the left side of the screen as follows:

  • Notice that Personal Folders is listed last in the screenshot above.

IMPORTANT NOTE: When your mailbox size reaches 20MB you will receive a size limit warning. When it reaches 25MB in size you will be unable to send email. When it reaches 30MB in size it will be locked down and you will be unable to send or receive email.  Creating and using Personal Folders can help prevent your mailbox from becoming too full.
