Administrative Assistant & Accounts Payable Coordinator

Overall responsibility
The Administrative Assistant and AP Coordinator will serve as an initial point of contact for students and visitors and support the Executive Vice President for Finance and Administration in the performance of duties.  The function will be a regular full-time, hourly, non-exempt position which reports to the EVP for Finance and Administration.

Key areas of responsibility include but not limited to:

  • Receive, review and enter vendor invoices, check requests etc. into the Accounts Payable system
  • Communicate with vendors to get invoice copies and resolve discrepancies
  • Maintain invoices to be paid in an organized manner
  • Produce checks on Wednesdays and Fridays along with credit card & purchase card payments
  • Create journal entry for campus corporate cards
  • Create journal entries for transfers and etc…
  • Process utility withdraw postings
  • Communicate with other departments to secure necessary supporting documentation
  • Welcome and direct students and visitors
  • Establish and maintain files for EVP’ s projects
  • Manage, coordinate & schedule EVP meetings & calendar
  • Coordinate rental of University Terrace Apartments & other campus rentals
  • Coordinate and maintain university credit card program
  • Coordinate & maintain vending contracts
  • Contact person for campus vendors
  • Manage campus related utilities
  • Manage & distribute mail
  • Provide additional assistance and support as required.

Qualifications

  • Must be able to set priorities, manage workload, meet deadlines and use good judgment
  • Must be thorough, organized, detail oriented, and able to multi-task
  • Must be accurate with numbers and computations
  • Effectively communicate both verbally and via written skills with diverse groups of individuals (Students, Employees, Visitors, etc…)
  • Able to type with accuracy in spelling and grammar at a basic speed of 35 wpm
  • Able to successfully resolve problems
  • Strong Customer Service skills
  • Experience and fundamental understanding of Microsoft Office 2010, specifically Excel, Word, and Outlook
  • Able to maintain confidentiality
  • Able to work well in a team environment
  • High School diploma required, prior bookkeeping experience or accounting degree preferred

Working Conditions

  • Duties are primarily in an office environment.  While performing the duties of the job, the employee will be regularly required to sit at a computer desk and use a computer keyboard and mouse without discomfort.  Additionally the employee will be required to stand and reach with hands and arms as well as use hands in performing the filing and assorted office functions.
