New set-up policy, Effective June 1, 2010
To ensure we can properly and efficiently fulfill work requests, the set-ups department asks that work orders be sent in a minimum of three business days prior to the event. In case of emergency work requests, we will try to accommodate within reason, but cannon guarantee availability to complete the request. With short notice work order requests, please call me in addition to submitting an online work order, so our staff can be alerted to your needs. This will enable us to let you know immediately if we will be able to accommodate your needs. These policies are designed to ensure that you, as the requester, get the set-up you want and that it is done properly and in a timely manner. Do not forget, when planning a time for your event, please allow for set-up and tear down time within the allotted rented time.
The following is a list of the resources we use in our set-ups:
28 8 foot rectangle tables
Each 8’ table seats up to 10 people. If an event requires more than this, we have to rent tables.
60 6’ round tables
Each seats 8 people comfortably, but can accommodate 10 people for a high occupancy event.
**If your event requires tables for food service in addition to dining tables, please clearly indicate that need in the work request.
950 Boone chairs
Basic tan-upholstered chairs.
125 TSAC chairs
Basic green-striped upholstered chairs exclusive to TSAC, not to be moved elsewhere. More chairs (from Boone) may be brought in if an event requires more than 125 chairs—as long as the number does not violate the fire code.
64 President’s Dining Room chairs
This framed vertical striped chairs. The fire code only permits 68 in that particular room. In the past this has not been strictly enforced, but will be henceforth.
Pip and Drape
200 ft of black drape standing 8ft tall.
200 Benson Auditorium chairs
Green chairs exclusive to Benson Auditorium.
For anything beyond what is listed, additional preparations are required. We can rent most items that may be needed. However, when renting, do not forget that budget codes are required prior to the ordering of equipment.
Finally, the importance of submitting work requests prior to events as outlined above needs to be reiterated. The following of these procedures helps us provide the best service to our campus. The set-ups crew takes pride in what we do, and we continually strive to raise the bar. Please know that with the recent changes, the Set-ups department has done everything we can to continue to make this campus run as smooth as possible. If there are any questions, comments, or concerns, do not hesitate to call or email any and all of them to me.
