Position Description

This position is a 12-month, 25-hour work week position (part-time) as an assistant to the doctoral program in the Graduate Counseling Program. Specifically, this person will work with the program director with tasks primarily related to the doctoral program. The person applying for this job needs to be a self-starter who is willing to take initiative with required job tasks. The applicant needs to be flexible and handle change well as responsibilities within the doctoral program can vary often.

  • Experienced administrative skills, including knowledge of word processing and Excel
  • Strong organizational and time management skills.
  • Self-disciplined and willingness to take personal initiative in fulfilling job description.
  • Team player, work collaboratively and cooperatively with others.
  • Ability to maintain confidentiality.
  • High School Diploma or GED required; bachelor’s or master’s degree preferred. MA in Counseling or MFT is preferred.

Representative Responsibilities

  • Doctoral program marketing
  • Maintain all communication with prospective students, current students, and alumni
  • Preparing dissertation contracts and payroll authorizations
  • Maintain ProQuest for dissertation submissions
  • Maintain that all Graduate Counseling (MA and PhD) documentation is in compliance with accreditation standards (CACREP)
  • Calculate and compile data for annual CACREP Vital Statistics report
  • Submits check requests and expense reports for dissertation committees
  • Schedules rooms and other spaces needed for classes and other events (i.e., module meetings, graduation, etc.)
  • Maintain up to date records for all doctoral students in the program
  • Maintaining/updating various program forms (i.e., applications, program information, registration forms, etc)
  • Develop and maintain a doctoral program newsletter
  • Arrange, organize, and execute interview day(s) and for Ph.D. program applicants
  • Arrange, organize, and execute orientation day for Ph.D. program students
  • Organize annual alumni event
  • Organize and administer doctoral comprehensive exams and retakes
  • Accreditation assessment for all MA and PhD programs
  • Assist with annual Issues in Therapy event
  • Performs all other duties and responsibilities as requested by the Program Director
