Overall responsibility

The Compliance and Records Assistant will be the contact for NCAA academic compliance and Veterans Administration School Certifying Official for the Office of Academic Records. This position serves as the Recording Secretary for the Academic Council and coordinates, maintains, and publishes the University Catalog. This position is also responsible for reporting monthly student enrollment data to the National Student Clearinghouse. The position is a regular full-time, salaried, exempt position that reports to the Registrar.

Primary Duties and Responsibilities

  • Serves as the primary point of contact for current and prospective students who are eligible for military benefits, including VA benefits and Tuition Assistance (TA)
  • Certifies eligible military student enrollment to VA and serves as the VA School Certifying Official, meeting VA’s initial and annual training requirements for the role
  • Responsible for NCAA academic compliance and works collaboratively with the Assistant Athletic Director of Internal Policy and Compliance to maintain academic compliance for student athletes
  • Serves as Recording Secretary for the Academic Council
  • Coordinates, maintains, and publishes the University Catalog
  • Reports monthly student enrollment data to the National Student Clearinghouse
  • Corrects student enrollment data directly in the National Student Loan Data System (NSLDS), when necessary
  • Processes deferment requests and degree and enrollment verifications
  • Maintains accurate and confidential student academic records
  • Upholds academic policies
  • Other duties, as assigned

Qualifications

  • Excellent customer service skills
  • Excellent communication skills (including face-to-face, telephone and email)
  • Ability to problem solve and use critical thinking skills
  • Attention to details and possess organizational skills
  • Collaborative with others in the university in order to establish effective working relationships and maintain familiarity with subject matter experts in other offices
  • Ability to follow instructions
  • Must uphold confidentiality of academic records
  • Demonstrated competence in the use of technology, specifically Microsoft Office
  • Bachelor’s degree required
  • Minimum of 2 years of experience working in customer service or related experience
  • Experience in an educational setting preferred
