Position Description

The office manager position is a regular full-time exempt 12-month yearly function which reports to the Director of the Graduate Counseling Program.

  • Ability to maintain confidentiality
  • Master’s degree preferred
  • Not enrolled in Trevecca’s Graduate Counseling Program

Responsibilities

  • Prime administrative resource for applicants, students, staff, faculty & adjuncts
  • Office liaison to other university departments (i.e. Financial Services, Admissions, ITS, Marketing, Maintenance)
  • Maintains applicant and current student records in management systems
  • Assists with accreditation assessments
  • Tabulates FTE Data semester reports
  • Monitors registration, grades, and academic status of students
  • Co-creates/updates semester schedules, prospective class offerings, and projected class dates with director
  • Prepares and facilities comprehensive exit exams
  • Manages contracts and pay authorizations for master’s and doctoral faculty, adjuncts, dissertation committees
  • Hires and supervises student worker(s)
  • Manages interview schedules for applicants
  • Determines admissions decisions with director
  • Updates materials and presents at new student orientation with director
  • Works directly with the Graduate School (GRAE) ensuring admissions records are updated
  • Manages course and program evaluations
  • Maintains program and faculty SharePoint Communication Sites and Graduate Counseling Program webpages
  • Schedules rooms and other facilities needed for classes/events; secures reservations as needed (i.e., for a special speaker, catering for an event, etc.).
  • Submits check requests and expense reports
  • Records minutes for Graduate Counseling program meetings
  • Works with the Coordinator of Disability Services as needed
  • Maintains inventory of office supplies (supplies can include assessment materials, desk copies for instructors, office supplies, etc.)
  • Updates program forms and other documents as needed
  • Assists as needed at Commencement each spring semester.
  • Performs all other duties and responsibilities as requested by director.
